Sell & redeem gift cards

Requirements

  • Available on: Starter and above
  • Device access: Web & mobile browser
  • Permission: Owner or Manager

Issue digital or physical gift cards your clients can spend at your salon. Each card is stored value — a balance that goes up when you reload it and down when it's redeemed. Gift cards are separate from Rewards, which are stamps and perks, not money.

How to issue a gift card

  1. In the left menu, open Gift Cards, then click Issue gift card. The Gift Cards page with the Issue gift card button

    <!-- CAPTURE: route=/gift-cards | login=owner | state=gift cards list with a few cards | highlight=Issue gift card button | viewport=1440x900 -->
  2. Choose a Card type — Digital or Physical card. For a physical card, you can record its Serial number. The Issue gift card dialog with the card type selector

    <!-- CAPTURE: route=/gift-cards | login=owner | state=Issue gift card dialog | highlight=Card type Digital/Physical buttons | viewport=1440x900 -->
  3. Under Collect payment, choose how the buyer is paying — Cash, Card or Other. The next question only appears once you have: a card issued with None is a comp or a promotion, which has no buyer and nobody to give it to, so we don't ask who it's for.

  4. Answer Who is this card for? — For myself or For someone else. The Issue gift card dialog with the Who is this card for? choice

    <!-- CAPTURE: route=/gift-cards | login=owner | state=Issue gift card dialog with a buyer selected | highlight=Who is this card for? segmented control and its hint | viewport=1440x900 -->
    • For myself puts the card straight into the buyer's profile after payment. There is nothing else to fill in — we use the buyer's own details.
    • For someone else leaves the card waiting for its recipient. Add the Recipient name and, for a digital card, the Recipient email: we email the card once the payment settles, and the recipient can spend it without an account or add it to their profile with the code.

    If the buyer has no email on file, the card still lands in their profile — we just can't email it, so read them the code from the card's page.

  5. Pick an Amount ($25, $50, $100, $200, or Custom). For a card bought For someone else you can also add a Personal message — it's hidden on a For myself card, because there is nobody to write to. The Issue gift card dialog with amount presets and recipient fields

    <!-- CAPTURE: route=/gift-cards | login=owner | state=Issue gift card dialog, Custom amount | highlight=Amount presets and recipient fields | viewport=1440x900 -->
  6. Click the button at the bottom — it reads Sell gift card when you're collecting a payment and Issue gift card when you're not. SalonHub360 generates a unique code automatically and the card appears in your list.

You can sell a gift card the same way from the professional app — the same question, the same options, the same wording.

Find & view a card

Use Search by code, name, or email to locate a card, or filter by All cards, Active, Voided, or Zero balance. Click any card to open its detail panel, which shows the Current balance, recipient and expiry details, a QR code (click Show QR), and the full Transaction history — every issue, reload, redemption, and adjustment with the balance after each.

The panel also shows a Delivery line for a card bought for someone else: where it was emailed and when, or why it hasn't been.

Resend emails the card again to the address already on it — use it when a recipient says it never arrived.

Add email and send appears instead of Resend whenever the address can still be set: type an address and we save it on the card and send it there. You can keep correcting it — a mistyped address is the usual reason a gift never turns up — right up until the card is sent successfully for the first time. After that the address is fixed, because changing it would put a second copy of a spendable code in somebody else's inbox.

Three kinds of card never offer Add email and send:

  • a card bought For myself — we use the buyer's own record;
  • a card a recipient has already added to their profile — the address would be theirs, and they aren't standing at your counter;
  • a card issued as a comp or promotion with no recipient chosen — there's nobody to send it to.

On those, Resend is what you get. If one of them genuinely needs to reach somebody, void and reissue it as a For someone else card.

A card issued without taking a payment is never emailed automatically, even when you chose a recipient for it: we send a card once its payment settles, and there was no payment. Its Delivery line will say it hasn't been emailed, and Resend (or Add email and send) is what puts it in the recipient's hands.

The customer adds a card to their profile

A card bought For someone else belongs to nobody until its recipient takes it. That's on purpose: whoever holds the code can spend it, with or without an account.

When the recipient wants it in their profile:

  • From the email. The card's email has a link straight to your salon's page in their SalonHub360 profile. They sign in (or create an account), then use Add a gift card.
  • By hand. From their profile they open your salon, find the Gift cards section, tap Add a gift card, and type the code from the card. Capitalisation and stray spaces don't matter — we tidy the code up before we look for it. It works the same in the browser and in the customer app.

Once a card is in a profile it stays there — it can't be moved to someone else, and a second person entering the same code is told the card is already in a profile. The recipient can then reveal the full code from their own profile whenever they're at your counter.

A card bought For myself needs none of this: it's in the buyer's profile as soon as the payment settles.

Reload, adjust, or replace a card

From a card's detail panel you can:

  • Reload balance — add funds to the card.
  • Adjust balance — correct the balance up or down with a required reason.
  • Void & reissue card — void a lost or compromised card and move its remaining balance to a brand-new code.

Redeeming a gift card

Clients spend a gift card by applying it as a payment when you settle an appointment, using the card's code. Redemptions are recorded automatically in the card's transaction history, and the balance drops accordingly.

Note: Issuing and managing gift cards is available on Starter and above and doesn't require SalonHub360 Payments. Taking card payments to sell a gift card — and applying a gift card at checkout — works alongside your appointment payment flow. See How to take a payment for an appointment.
